Meeting Room Policy

OVERVIEW

The library encourages the free exchange of information and ideas within our community. Meeting rooms are provided to nurture and support community engagement.

  • All meetings and events must be free and open to the public.
  • Meetings and events must not interfere with library services.
  • Users are expected to make a reasonable effort to clean up the space after use.

ELIGIBILITY & RESTRICTIONS

Library meeting rooms are primarily for library programs and activities. When not in use by the library, rooms are available for cultural, educational, civic, social service, entertainment, and other community-oriented purposes.

  • All meetings must be free and open to the public unless specifically approved by the library.
  • Rooms may be reserved for community meetings, study, research, job interviews, tutoring, telehealth, entertainment, and other civic or educational purposes.
  • Meeting rooms may NOT be used for:Sales, fundraising, or promotion of products/services.
  • Classes for profit.
  • Private social functions.
  • Activities prohibited by law or disruptive to library operations.

RESERVATIONS

  • Rooms are available only during normal library hours. Events and meetings must end prior to closing time.
  • Reservations should be made at least 24 hours in advance; cancellations should be made promptly.
  • Reservations are considered on a first-come, first-served basis and may be limited due to demand.
  • The person reserving the room is responsible for compliance with all policies and for any damage or loss, and for ensuring that all attendees adhere to library policies.

ROOM USE GUIDELINES

  • Alcohol is prohibited.
  • Tobacco use (including vaping) is prohibited on library property. Review Public Service policy 8.4.
  • Groups must not exceed posted room capacity.
  • Rooms must be returned to their original condition; cleanup is required.
  • Furniture and equipment provided may be used but not removed.
  • Food and non-alcoholic beverages are permitted in designated rooms; no cooking or open flames.
  • Notices or publicity must not imply library sponsorship unless co-sponsored by the library. The library may not be listed as a contact person.
  • Storage areas are not provided, and personal items may not be left in rooms overnight.
  • Groups may request room setup if reservations are made at least 48 hours in advance and staff is available to assist. Otherwise, groups are responsible for arranging chairs, tables, and other equipment provided in the meeting rooms to meet their own needs. Following their use of the room, groups must return the room to its original state. Clean-up of the room by the group is required.
  • No decorations, posters, or other materials may be affixed to walls or windows inside or outside the meeting room without prior library approval.

LIBRARY RIGHTS

  • The library may cancel or relocate reservations if space is needed for library purposes, if there is an emergency closure, or if policies are violated.
  • The library reserves the right to deny use to individuals or groups that have abused privileges or disrupted operations.
  • Staff may attend meetings and monitor compliance.
  • Fees and usage restrictions do not apply to library-sponsored events.
